Microsoft Exchange E-Mail Systems

What is Microsoft Exchange?

Microsoft Exchange is the industry’s leading platform for e-mail, calendaring, and unified messaging. The most recent release, Microsoft Exchange Server 2007, is closely aligned with the Microsoft Office 2007 suite of products, which together deliver a best-in-class enterprise messaging and collaboration solution-however Microsoft Office 2007 products are not necessary to realize the core benefits of Microsoft Exchange. At a glance, some of those benefits include:

1. Keeping communication connisistent and e-mail flowing with enterprise-class availability and reliability.

2. Helping safeguard users and the organization’s valuable data from the harmful-and continuously increasing-effects of spam and viruses.

3. Providing trusted communications within the organization automatically, without added cost or complexity; seamless integration.

4. Simplifying regulatory compliance in a way that supports the different needs of employees, compliance managers, and messaging administrators.

5. Increasing the productivity of today’s employees who require the ability to respond quickly at home, work, or in the field.

6. Offering employees a single inbox to access all of their important communications—including voice mail, fax, and e-mail—while avoiding the cost and effort of maintaining separate disparate systems.

7. Delivering a fast, seamless, and familiar Outlook experience across different devices and clients with no requirement for extra software or services outside of an Internet or basic phone connection.

8. Improving group collaboration and productivity by making it easier to find and share data, documents, and schedules from anywhere.

Microsoft Exchange vs. Standard/Internet email

Smaller businesses typically start with POP email – the basic, no-frills email that has been common since the 1980s. POP email is cheap, but offers none of Outlook-Exchange’s advanced functionality, like calendars, task lists, file-sharing or contacts. POP email is stored on your local PC, instead of on a central email server, so if you use different devices – like a desktop PC and a BlackBerry® – you will not see emails which came through to a different device.

Features of Microsoft Exchange:

Microsoft Exchange is popular due to its user-friendliness and its advanced features, which boost productivity:

  • Up-to-date: Exchange stores everything centrally, so you always see the latest version of your email, files, calendar and contacts.
  • Mobile access: Exchange is the software that powers email for handhelds like the latest BlackBerry®, Treo or Windows Mobile devices. It also offers sophisticated Web mail, so you will always be synced with your team.
  • Shared calendars: Lets employees see colleagues’ availability to schedule or rearrange meetings, book conference rooms, and plan projects.
  • Shared task lists: Allows ‘to do’ lists to be created and assigned, then shared with team members. Managers can check off items as they are completed.
  • Shared contacts: Company or shared address books means your customers’ contact details will never be lost or misplaced.

Microsoft Outlook-Exchange lets employees share information and work together productively, in a way that is otherwise impossible.

Why hosted Exchange?

Microsoft Exchange is the best corporate email software, but it is expensive to buy and run. Hosted Exchange gives you all its benefits – without the high cost:

Costs of Hosted Exchange

Cost is the major reason why hosted Exchange is rapidly growing in popularity.

Upfront costs can be  several thousand dollars for an Exchange server, putting in-house Exchange beyond the reach of some businesses.

Having email and collaboration that always works is now essential to doing business – and downtime is unacceptable.

In-house Exchange servers  cannot match the reliability of hosted Exchange. Hosted Exchnage is managed on servers in large purpose-built datacenters with backup power, air conditioning and Internet connections.

Northeast Computer Services has certified technicians and many years of experience with Microsoft Exchange and Outlook.  Please contact us to discuss a solution to fit your busineess needs.
